Job Summary
The Office Manager is a key member of the team. With duties that include but are not limited to management of daily communications, organization and completion of reports and documents. Maintaining the organization and efficiency of the office and staff. The Office Manager will serve as a liaison for all employees, customers and executives.

Prerequisites
Strong computer skills in Microsoft Office
Experience with Timberline Construction Management system preferred
Administrative or accounting experience in the Construction Industry preferred
Strong teamwork orientation
Positive attitude and professional customer service skills
Organization, quick creative thinking, ability to multi-task and prioritize projects
Good communication and interpersonal skills are important, as is the ability to quickly learn new applications as the industry grows and changes

Job Responsibilities
Answer phones, transfer & maintain phone system
Open, Sort and distribute incoming correspondence
Maintain inventory & order office supplies
Maintain electronic and hard copy filing
Perform general clerical duties
Help with miscellaneous proposal items as needed
Maintains communications between clients, contractors and vendors
Review and process certified payroll data
Assists with preparation and tracking of monthly billings to ensure accurate and timely submission
Processes AP/AR invoices and maintain files for such invoices
Maintain all subcontractor proper paperwork and insurance forms
Up-Keep of employee files and records
Process weekly time card entries and distribute payroll
Interfaces with team members to complete timely requests

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
